Clear Calls and a Clean Microsoft 365: Supporting a Local Healthcare Provider

At a glance

Client: A local healthcare provider, Bozeman

Type: Small healthcare office

Services: Starlink installation, Microsoft 365 review and migration cleanup, SharePoint and email fixes, scan-to-email setup, phone and computer hardwiring, managed switch install

Scale: Four phones hardwired in a single visit, two Microsoft environments consolidated into one

Platforms: Starlink, Alta Labs, Microsoft 365, SharePoint

The constraint

This is a small office where the phones matter. The team wanted to move onto Starlink, and after a rebrand their Microsoft data was split between an old account and a new one: missing contacts, files that never made it into SharePoint, a shared mailbox that wasn't reliably receiving email, and staff switching accounts to find past messages. They needed one local partner to handle the connection, the cloud, and the day to day.

Getting the office online

We mounted Starlink on the roof, routed and secured the cabling along the outside of the building into the second-floor office, and sealed every entry point. Then we set the system up inside and validated it so the team could test their desk phones and devices before calling it done.

Untangling Microsoft 365

Before changing anything, we reviewed the Microsoft 365 setup and delivered a written summary of findings so the team could agree on priorities. From there we brought contacts over from the old account and migrated inactive client and staff records into the current one, outside business hours so the office never had to stop work. We got SharePoint search returning results again, fixed delivery to the team's shared mailbox, and worked through the scan-to-email workflow on site until the scanner was sending again.

Matching the right connection to the phones

Starlink was doing its job. The phones were the part that needed a different path. Voice traffic over WiFi shares the air with everything else in the office, and calls were coming through choppy. Together with the office lead, we settled on a targeted fix: wire what stays put, leave the rest on WiFi.

In a single visit, we traced and toned out the existing cabling, then cut and terminated new Cat6 for all four phones. We wired the main desk computer, brought the Starlink connection back to a new managed switch, and programmed the switch so we can see what is connected and support it remotely.

What's in place now

  • Starlink on a weighted roof mount with sealed, secured cabling

  • All four office phones on dedicated Cat6, off WiFi

  • Wired connections for the computers that don't move

  • Managed switch we can monitor and support remotely

  • Contacts and records consolidated into one Microsoft 365 account

  • SharePoint search working and shared mailbox delivery fixed

  • Scan-to-email working

  • A written review of the Microsoft environment to guide what comes next

The result

The office now has a wired foundation for its phones, one clean Microsoft 365 environment where search and shared email work the way they should, and a local team that knows the setup end to end.
